1.2 What we collect

1.3 Why we use it

We use your information only for the purpose it was given, or for a closely related purpose you would reasonably expect.

1.4 Who we share it with

We do not sell your information. We share it only with:

Some of these services store data outside Ghana. We use well-known providers that protect data to recognised international standards.

1.5 How long we keep it

1.6 How we protect it

Our systems are password-protected and only authorised staff can sign in. Data is sent over secure (HTTPS) connections. Paper notes are kept locked away. Only people who need the information to serve you can see it.

1.7 Your rights

You may ask us to: see the information we hold about you · correct it · delete it (where the law allows) · stop using it for marketing. Write to degraft@degraftaffulonline.com. We will reply within 21 days.

1.8 Children

We do not knowingly collect information from children under 18 without a parent's or guardian's consent (see Policy 4).

1.9 Cookies

Our website uses a small number of cookies and similar tools: some help the site work (sign-in, your basket), and Google Analytics helps us count visitors. You can block cookies in your browser settings. The site will still work, but some parts may not.

1.10 Complaints and the regulator

If you are unhappy with how we handle your information, please tell us first (Policy 7). You also have the right to complain to Ghana's Data Protection Commission.

1.11 Changes

We may update this policy. The date at the top always shows the latest version.

2. Terms of Engagement

Effective: 30 October 2026 · Apply to all Dona-Consult services, unless a signed agreement says otherwise

2.1 Scope

Every engagement (other than single coaching sessions booked online) begins with a written proposal or engagement letter. It sets out the work, deliverables, timeline and fee. Work outside that scope is agreed in writing before it starts.

2.2 Fees and payment

2.3 Rescheduling and cancellation

2.4 Confidentiality

We keep your information and business matters confidential, during the engagement and after it ends. The only exceptions are those in Policy 3 (safety and the law). We may sign your own non-disclosure agreement if you need one.

2.5 Who owns the materials

2.6 Engineering advice

Civil engineering advice and site supervision are based on the information, drawings and site conditions available at the time. They do not replace the statutory permits and approvals the client must obtain, or the design responsibility of other registered professionals on the project. The exact responsibilities for each project are set out in its engagement letter.

2.7 Coaching is not therapy

Coaching, mentorship and pastoral guidance do not replace medical, psychological, legal or financial professional advice. Where needed, we will recommend a suitable professional (Policy 3).

2.8 Responsibility

We do our work with professional care and skill. Your decisions remain your own. As far as the law allows, our total liability for any engagement is limited to the fees paid for that engagement.

2.9 Disputes

If a problem arises, we will first try to resolve it by talking (Policy 7). If that fails, either side may refer it to mediation under Ghana's Alternative Dispute Resolution Act, 2010 (Act 798), before going to court. These terms are governed by the laws of the Republic of Ghana.

3. Coaching Ethics and Confidentiality

Effective: 30 October 2026 · Based on internationally recognised coaching ethics (such as the ICF Code of Ethics), Scripture and our values

3.1 Our promises to every client

  1. Honesty. We tell the truth kindly, even when it is hard. We do not promise results we cannot deliver.
  2. Confidentiality. What you share stays with us (see 3.2).
  3. Respect. Every person is treated with dignity, whatever their age, background, tribe, church, gender or situation.
  4. Your choices are yours. We ask questions, offer frameworks and share wisdom. You make your own decisions.
  5. Clear boundaries. The relationship stays professional. No personal, financial or romantic involvement with clients.
  6. Conflicts of interest. If we have a personal or business interest that could affect our advice, we will tell you.
  7. Competence. We only take on work we are qualified for, and we keep learning.
  8. Faith with respect. Our counsel is anchored in Scripture. We share it openly, and we never pressure anyone to believe.

3.2 Confidentiality and its limits

We do not share what you tell us without your permission. The only exceptions are:

Where possible, we will tell you before we share anything. In team or company coaching, we agree at the start what (if anything) will be reported to the organisation that pays.

3.3 Recording

Sessions are never recorded without the client's clear consent.

3.4 When we refer you

Coaching is not therapy or medical care. If we see signs of depression, trauma, addiction, abuse or another matter that needs a specialist, we will gently recommend a qualified professional, and we can continue coaching alongside them.

4. Safeguarding Policy

Effective: 30 October 2026 · Protecting children (under 18) and vulnerable adults · Follows the Children's Act, 1998 (Act 560)

4.1 Our commitment

Every child and vulnerable adult has the right to be safe. When we work in schools, churches, youth programmes, mentorship and the Hub, keeping them safe comes before everything else.

4.2 Safeguarding lead

De-Graft Nyansah Afful is the Designated Safeguarding Lead. Any concern must be reported to him at once: +233 244 432 346 · degraft@degraftaffulonline.com.

4.3 Safe practice

4.4 If someone tells you about abuse

  1. Listen calmly. Do not ask leading questions, and do not promise to keep it secret.
  2. Write down what was said, in their words, with the date and time.
  3. Report to the Safeguarding Lead the same day.
  4. Where a child is in danger, the matter is reported to the Department of Social Welfare, or to the Police Domestic Violence and Victim Support Unit (DOVVSU). In an emergency, call the police.

4.5 Review

This policy is reviewed every year, and after any serious incident.

5. Integrity and Anti-Bribery Policy

Effective: 30 October 2026

"A good name is rather to be chosen than great riches." (Proverbs 22:1)

5.1 Zero tolerance

Dona-Consult does not offer, give, ask for or accept bribes, "facilitation" payments or kickbacks, directly or through anyone else, to win work, pass an inspection, get a permit or influence any decision. This applies to everyone who works for or with us. Corruption is a crime under Ghana's laws.

5.2 Gifts and hospitality

5.3 Honest dealing

5.4 Speaking up

Anyone who is asked for a bribe, or who sees something wrong, should report it to De-Graft Nyansah Afful. No one will be punished for refusing a bribe or for raising an honest concern.

6. Health and Safety Statement (Site Work)

Effective: 30 October 2026 · For civil engineering consultancy, site supervision, farm and Hub work · In line with the Labour Act, 2003 (Act 651)

6.1 Our commitment

No job is so urgent that it cannot be done safely. We aim for every person to go home from site unharmed.

6.2 What we do on every site

6.3 Stop-work authority

Our supervisors have the authority, and the duty, to stop any work that is unsafe until the danger is removed. Anyone can raise a safety concern without fear.

6.4 Accidents and near-misses

Every injury, accident or near-miss is reported the same day, written down, and checked so that it does not happen again. Serious accidents are reported to the client and the authorities as the law requires.

6.5 Shared responsibility

Contractors are responsible for the safety of their own workers and methods. As supervising consultant, we monitor, advise, record and escalate. The exact duties for each project are written into its engagement letter.

7. Complaints Procedure

Effective: 30 October 2026

We want to know when we get something wrong, so we can put it right.

  1. Tell us: email degraft@degraftaffulonline.com, call or WhatsApp +233 244 432 346, or write to P.O. Box 1029, Takoradi. Say what happened and what you would like us to do.
  2. We acknowledge it within 2 working days.
  3. We look into it and give a full answer within 14 days, or tell you why we need longer.
  4. If you are still not satisfied, we will meet to talk it through. If needed, we can use mediation (see Terms, 2.9).

Complaints about personal data may also go to the Data Protection Commission (Privacy, 1.10). Safeguarding concerns are handled urgently under Policy 4.
